Please read this information regarding our Rules, Terms and Conditions.

Japan RV Rental is a booking service that connects customers to camping car rental companies in Japan. The terms and conditions listed here reflect those of each rental company however they are not limited to those listed here. On signing of a rental lease agreement you are bound to the conditions as per that of the vendor under Japanese Law.



We would like each and every customer to use our vehicles in a safe and responsible way, observing some basic rules in order to allow all customers to enjoy a comfortable and pleasant experience.


No smoking in vehicles.

Smoking is prohibited inside the vehicle.


Shoes strictly prohibited.

Do not wear shoes in the rear camping area of the vehicle. Driving with shoes is OK.


No grilling food inside.

Barbecuing or grilling and cooking oily food should be done outside.


Keep the inside clean.

If you accidentally spill fluids like juice, soy sauce, or beer in the vehicle's interior, please wipe it off immediately.

Please bring your own water resistant sheet if you have young children.

Wearing of seat belts.

Please ensure that passengers wear seatbelts and stay seated at all times when the vehicle is moving.

Please be especially careful if you are travelling with children and use child safety seats.

Use of beds, gas cooking stoves, showers, and toilets is prohibited while the vehicle is moving.

Caution when using the toilet and shower.

For vehicles that have a toilet please use only if no other alternative is available. Cassette type toilet can fill quickly.

Do not flush anything other than toilet paper down your toilet.

Please remove all toilet paper from the bathroom when showering or it will become soggy and unusable.



Reservation, Change and Cancellation Fee.

Reservation Deposit and Fee.

A 10% booking deposit is paid to secure the reservation. It is calculated as a percentage of the total value of the invoice amount. This is not confirmation of the reservation. Confirmation is completed within 24 hours of receipt of the booking request. If the reservation cannot be completed the booking deposit is refunded in full within 24 hours.

A reservation fee of 2,100 JPY for administration and processing is payable in addition to the booking deposit. When the reservation cannot be completed the reservation fee is also refunded.


Changes to Rental Term or Reservation.

If you want to change any details of your booking, you must contact Customer Service.

Changes at certain locations, or in certain time periods, or for certain vehicles may not be possible. Changes permited may impose extra rental fee or cancellation charges. In addition, we may apply a rebooking fee of 2,100 JPY.

You will not be refunded for loss of use of the vehicle if you arrive later than the issued invoice start date. Notification of change in start date must be given more than 14 days before the issued invoice start date.

If you fail to cancel a reservation or notify us of late arrival and do not pick-up the vehicle in accordance with the issued invoice, you may be charged for up to the full amount.


Late Returns.

If you are late returning the vehicle please contact us as soon as possible. Extra charges are payable on returning the vehicle.

If the vehicle is returned later than 7 pm there is a fee of 1 extra day rental applied.

In addition the office may be closed and unattended in which case the vehicle must be returned the following morning.



Please contact us soon as possible if you want to cancel.

More than 14 days- 3,200 JPY Cancellation Fee. A cancellation fee up to 3,200 JPY is charged when notice of intent to cancel is given more than 14 days before the first day of the rental period. The cancellation fee is deducted from the booking deposit ( partial payment of rental fee ) that is paid at the time of reservation. Any balance of the booking deposit is refunded within 21 days when notice of intent to cancel is given.

Less than 14 days- No refund. When intent to cancel the reservation is given less than 14 days before the first day of the of the rental period the booking depsoit is not refunded.

During Rental Period- No Refund. If the renter decides to cancel or return the camper earlier than the contract rental term end date the balance of remaining rental fee is not refunded.

Refunds. Will be paid in Japanese yen into nominated Paypal Account, Bank Account or Credit Card Account. Refunds can take up to 21 days to return to your account depending on your financial institution.

Japan RV Rental nor vendor is liable for any loss due to bank fees or currency conversion. Security deposit paid by credit card or PayPal will not be refunded in cash.

The 2,100 JPY reservation administration and processing fee is not refunded.




Insurance and Accident


Conditions for insurance protection and excess/ deductable vary depending on which rental location you choose. Please select a rental location to download further information.



6. Responsibilities.

6.1. You are expected to operate the vehicle in accordance to this rental agreement (and the main insurance agreement policy of the company written in Japanese from which this was translated). If a traffic accident is caused under the following conditions or you have failed to comply with your part of responsibility the insurance coverage shall not be applied and you are to indemnify for any amount, which shall be responsible for you to our company.
6.2. Failure to comply with these required procedures: In conditions such as, When traffic law was violated. When the rented vehicle was driven under the influence of alcohol or drugs. When the rented vehicle is used during an unauthorised extended period of time. When driven by another person other than the agreed driver and/or authorised drivers.

7. Caution.

7.2. We make every effort to ensure the vehicle is available as per the reservation. In the unusual circumstance where the vehicle is not available due to mechanical breakdown or due to damage from previous customer etc, we will provide another camper of the same type or an upgrade at no extra cost. If you decide not to use the substitute camper you will not be refunded. If there are no alternative campers available you will be refunded the booking deposit. You will not refund for out-of-pocket expenses relating to alternative transportation or accommodation that you arrange.
7.3. All of our campers are checked before and after rental for evidence insect infestation. You will not be refunded the rental fee for presence of ants, flies, mosquitoes, spiders, fleas, bed bugs etc, and we may charge a fee for the eradication of such insects.
7.4. During the contract, you are responsible for the maintenance of the parts and equipment accompanying the vehicles. You need to cover the cost in case a theft or loss occurs.
7.5. Any damage or loss of personal property during the rental contract period is not the responsibility of the rental company.
7.6. Any personal injury or death during the rental contract period is not the responsibility of the rental company.
7.7. You are responsible for any accidents that occur when, with an ETC installed or not when you drive through a toll gate
7.8. If you are over the term of rental without a formal reason or contact, we will take legal action for fraud, embezzlement and/or robbery.
7.9. The insurance policy will not cover expenses relating to damage or loss under these situations. Customers shall cover damages caused under situations as below.
a. Acting against the terms and conditions for rental. Examples; "drinking", "doping", "unapproved extension", "operation by those other than the borrower and specified drivers ", "sublease", "driving without a license", “settlement out of court without the consent of our company”, etc.
b. When it corresponds to the disqualification of insurance policy, or when payment is exempted. Examples, “intentional damages”, “drinking”, “doping”, “damage to tire caused by blowouts"," windscreen damage”, “loss of wheel cap”, "filling with incorrect fuel type", etc.
c. Predetermined procedures, such as contacting the police and our company, is not taken after an accident (Please contact us and the police, regardless of the size of damage, whether or not there are other passengers and/or whether you are the assailant or the victim).
d. When there is a fault with use and management. Examples, "Parking with the key attached and a theft occurs", "Using the awning incorrectly or damage from wind and rain", "damages resulting from nuisance parking etc.", "corruption of indoor equipment", "loss of general tools", "damage caused by the handling and improper installation of chains and carriers", "damage caused by a run in the seashore, a dry riverbed, etc.", etc.

8. Accidents.

A) If you are involved in an accident you must,
8.1. It is mandatory for you to report an accident to the police and us at the site of an accident, regardless of whether or not it is serious, whether or not there is a third party involved in it, or who is at fault.
8.2. Get name, address and phone of third party and/ or any witnesses. Take photographs of damaged vehicle/s and license plates. Take note of the exact time and location.
8.3. In case of an accident, we will pass your personal information to the insurance company and police. 8.4. Do not attempt to drive the damaged vehicle unless you have permission from the rental company.
B) Replacement Camper
8.5. If you cannot continue your journey due to damage to the vehicle, a replacement camper may be provided to you if one is available. You must return to our office at your own expense or we will bring it to you for an extra delivery fee.
8.6. You must pay a new security deposit for the replacement vehicle.
8.7. If there is no alternative vehicle available whether or not you will be refunded is determined by degree of fault in regard to the accident. This is determined by police reports and the insurance company. If it determined that there is 0% fault by the contracted rental party then there is refund of the balance of rental fee based on a percentage of days remaining for the contracted rental period. When it is determined that there is any fault of contracted rental party then there is 0% refund of the balance of rental fee and the rental contract is terminated.
8.8. We will not refund for out-of-pocket expenses relating to alternative transportation, change of itinerary, food, accommodation that you arrange or lost usage time of the vehicle. C) Time Frame for Settlement of Rental Contract Liability Claims
8.9. Decisions about liability in case of an accident are determined by insurance company and other third party not the rental company. The time frame for these decisions are unknown and may take months or years. Any balance of rental fee or security deposit cannot be refund until such a decision has been made.
8.10. Upon receiving the decision of degree of liability from police/ insurance company or other third party any money owing the contracted party will be paid immediately.
8.11. The contracted rental party must assist in providing requested information relative to the claim.

9. Breakdown and Equipment Malfunction.

9.1. When there is a breakdown or equipment malfunction you must immediately contact us and tell us the exact problem, how it occurred and your current location. You may be asked to make some small diagnostic checks and repair and/ or to call roadside service for further checks.
9.2. If the problem requires further mechanical assistance we may ask that you take the vehicle to the closest repair workshop. This may take several hours to a full day depending on the problem.
9.3. When there is a fault of the electrical system in the camping area, lights, refrigerator etc. Repairs or alternatives may be arranged. Faults to the FF Heater system when used above 1,000 meters above sea level or general faults may require workshop repairs. Faults with the vehicle air-condition system will require workshop repairs.
9.4. You will not be refunded for out-of-pocket expenses relating to alternative transportation, change of itinerary, food, accommodation that you arrange or refunded for lost usage time of the vehicle whilst being repaired. The cost of any repair to the vehicle and or replacement of damaged or missing items are to be determined by the mechanic appointed and thus determined by the rental company not the renter. If the vehicle is unusable you may be provide another vehicle if one is available at the discretion of management. It may take up to 24 hours to provide the replacement vehicle depending on your location. When you cannot continue the journey due to a mechanical breakdown and there are no other vehicles available you will be refunded the balance of the rental fee, excluding items listed 9.3.




Fines and Fees


Parking Fines:

When a borrower performs a parking violation, the borrower needs to pay the fine and expenses for things such as tow truck usage.

If we make a payment on your behalf for the parking violation fine or expenses, you need to pay us back the amount.

Traffic Violations:

All traffic infringements, violations and fines are the reasonability of the borrower and must be paid to the appropriate authority. Failure to do so may result in further legal action under Japanese law.

Cleaning Charges:

Dirt which cannot be wiped clean: 2,000 JPY per item
Ruined bedding, sheets and/or carpet of the car: 2,000 JPY per item
Interior of the vehicle which is severely soiled from dirty shoes, cooking, odours, smoking, toilet blockage etc: 30,000 JPY

Broken/ Lost Items:

Actual cost (example: Lost car navigation, broken side awing: 200,000 JPY).

The above mentioned items do not apply to vehicles accident indemnity-against-liability system.

Failure to Refuel Fee:

If the vehicle is returned without a full tank of fuel and is refilled by us there may  be a fee of cost of fuel plus refuelling fee: 5,000 JPY.




Winter Precautions.


In Hokkaido and mountain regions during winter use of the vehicles on-board water system is not possible due damage caused by freezing.

This means that the sink, shower, hot water and toilet is unusable.

Most campgrounds are closed. We recommend using ski resort facility or hot spring baths for personal hygiene.

The AC (External) power supply is not readily available. Some accessories must have AC power to function (Example: Microwave, Hair Drier, Water Boiler).

Some systems that require power will work from the on-board batteries (Example: Heater, Lights, TV) . The batteries can operate these systems typically for about 12 hours on a full charge. Once they are depleted they must be recharged by running the engine for 4 hours or plugging into AC power outlet. . It is not recommended to idle the engine for extended periods.

During winter months snow tires are fitted to the vehicle however extra care must be taken due to different driving conditions.




Terms and Conditions

Payments and Refunds:

You agree to make payment of the deposit at the time of booking via a debit to your nominated payment method. The amount debited will (subject to the following) be the amount shown.

Full refund of the deposit will be made if cancellation is within the guidelines of the Cancellation Policy. Or at the time of vehicle return and once all conditions of rental have been verified including return of the vehicle and accessories in good condition.

Depending upon the currency of the booking, your native currency and the country in which payment was issued, there may be foreign exchange fees and other fees which are in accordance with your arrangements with your financial institution.


Requirements upon Picking Up the Vehicle:

You will be required to provide payment at pick up to cover the balance of rental payment and any other charges.

In addition, you must have your passport and valid international drivers license or translated copy of original license.

IMPORTANT- The documents must have been issued within 12 months of the rental peroid.

Failure to provide these documents will forfeit your booking and deposit.  

A record and/or copy of these documents may be retained by the rental company to minimise the risk of monetary and property loss.


Vehicle Availability Compensation:

When you make your reservation we confirm the vehicle is available for the dates that you request and once you pay the booking deposit the vehicle cannot be booked by another customer. We make every effort to ensure the vehicle is available as per the reservation. In the unusual circumstance where the vehicle is not available due to mechanical breakdown or due to damage from previous customer etc, we will provide another camper of the same type or an upgrade at no extra cost. We make every effort to ensure all information displayed on the site is accurate, however, as considerable information is accessed from our partners and posted by our customers, we are unable to guarantee the accuracy of all information nor are we able to guarantee that the site is free of errors or faults. We reserve the right to change information displayed on the site (including these terms and conditions) at any time without notice to you.


Without affecting any statutory consumer rights that cannot be lawfully excluded or limited: a) we will not be liable for any losses, damages, liability, claims or expenses (howsoever caused, including negligence, and whether direct, indirect or consequential) arising from the use of or connected with the site or any products or services purchased on the site, and b) we make no warranty or representation as to the fitness or suitability of any product or service displayed on the site or any linked site. Where our liability cannot be excluded, to the extent permitted by law such liability is limited to either: (i) for breach of implied terms, at our option, to resupply the service or the cost of resupplying the service; or (ii) otherwise, to the value of the booking made. We sell from inventory supplied by each vendor and we do not over-sell that inventory. We cannot accept additional liability for unavailability caused by a vendor over-selling its own inventory.

These terms and conditions are governed by the laws of Japan. We receive payments from our vendors for the provision of our booking service. All references to "we", "our" and "us" are references to japanrv-rental.com. For information on how we deal with your personal information please refer to our privacy policy.

Privacy Policy

We respect your privacy and are committed to protecting the personal data we hold about you. This policy explains what data we collect about you, how we collect it, the measures we take to keep your data secure and the uses we make of it. We also explain the options you have regarding your personal data. When you request services from us, access our websites, or otherwise interact with us, for example, but without limitation, through our outlets, our in vehicle technology, official pages on third party social networks (such as Facebook) or the “apps” on those pages, you consent to our collection, retention and use of your personal data in the manner described in this policy and accept the risks outlined in the Security section.

What We Collect:

Name, address and contact details, including telephone and mobile number, and email; Date and place of birth, passport number and driver’s license information.

Location data such as geographic location of electronic devices used to contact us or to access our mobile “apps” or of the vehicle or equipment you have rented;

Information regarding the vehicle or equipment rented and its operation during your rental. Rental charges you incur and other information relating to your transactions.

Information about your credit history or other publicly available information about you from consumer reporting agencies.

We generally retain personal data about our customers for as long as we believe appropriate for the purposes for which it was collected or as otherwise required by applicable law. 
As you may be aware, there is no completely secure method of transmitting or storing data. Although their physical characteristics are different, postal mail, telephone calls, text messages, faxes and transmissions over the Internet or wireless networks all present possibilities of loss, misrouting, interception and misuse of the data that is transmitted.
We take reasonable measures to protect against the loss, misuse and unauthorized access or disclosure, alteration and destruction of your personal data by aiming to maintain appropriate physical, procedural and electronic safeguards to protect your personal data, including:

Restricting access to personal data to our employees on a “need to know” basis; Enforcing policies and procedures for our employees in their handling of personal data; and

Using technologies designed to safeguard data during its transmission, such as SSL encryption for the data you provide on our websites. 

We will share your personal data among ourselves, our vendors and other companies to provide services to you, including to:

Make your rental reservations; 

Process and/or confirm your transactions;

We may use, share and disclose your personal data for legal reasons as we believe necessary or appropriate, including:
Under applicable law, including laws outside your country of residence;'

To process, handle or otherwise respond to claims for damages, including claims or demands for bodily injury or property damage;

To respond to requests from public and government authorities including public and government authorities outside your country of residence;

To recover our vehicles, equipment or any monies due, such as through debt collection agencies;
